Assessment Task – Portfolio of Evidence
Instructions to Student | General Instructions: The purpose of this assessment is to prepare four (4) word processed documents using some of the more common Word functions. Select the most appropriate word processing application to do this. Each document prepared must follow a set of instructions. All documents must be accurately completed in order to gain a satisfactory result. Access to class text, on-line help and participant’s notes is allowed. Time Allowed: Assessment 2 ½ hours All students will have 2 ½ hours in which to complete this assessment. Class-based students will have this time monitored by their supervisor. The supervisor is to record start/end time on page 3 of this assessment if students do not have access to Connect. Alternatively, class-based students who do have access to Connect as well as online students will have the 2 ½ hours timed through Connect to prepare all the required documents. Students who need to make some adjustments in order to create accurate documents will be given the opportunity to make the necessary corrections to these documents as a second attempt. Materials to be supplied: · Access to computer with relevant software and a printer · Ergonomic furniture · English language dictionary · Document holder · Recycled paper tray · Style Guide Files required: Cairns Tourist Guide draft; Cairns logo; photographs of Rainforest and Helicopter Tour; Great Barrier Reef; Lizard Island Scenic Flights Work, Health and Safety: Students are to comply with the Work Health and Safety Act 2011 whilst completing these tasks. Assessment Criteria: To achieve a satisfactory result, your assessor will be looking for your ability to demonstrate the following key skills/tasks/knowledge to an acceptable industry standard: · Prepare a brochure using: – section breaks – unlinking sections – headers and footers – Inserting pictures – creating a table and editing – columns – creating and applying styles · Prepare a mail merge letter |

Task 1
You are required to contact your supervisor to clarify any tasks you are unclear about, prior to commencing the tasks.
While speaking to your supervisor you will need to explain orallyhow to access help so that you can use this function if required during the assessment. Also explain orally the purpose of the style guide when completing tasks.
Familiarise yourself with the following scenario before completing the tasks.

SCENARIO
You are employed by Cairns Tourism as Personal Assistant to the Manager, Martin Simons. Martin will be out of the office this morning and would like you to complete some tasks in his absence. He will advise you of his requirements by email.
In completing the tasks, you will need to follow the Cairns Tourism Enterprise Policies and Procedures (the relevant sections are given below) as well as the requirements specified by Martin himself.

While I am out of the office this morning, could you design and produce abrochure for tourists about Cairns, please? I’ve typed some preliminary information saved as Cairns Tourist Guide draft.Whilst preparing this brochure take note of some requests I’ve indicated over the page. The brochure should be laid out as indicated in my sketch. Make sure you have a good look at my handwritten notes before you start, to be certain you fully understand what I require. Be consistent throughout the document with text and formatting and check in Print Preview for placement on the page.The final page of the brochure will be a table displaying the various events in the region – refer to the draft hard copy I’ve provided and include the amendments noted. You’ll have to type this final page yourself.Save competed 5 page document as Tours and Events in Cairns and print a copy. Could you design and produce an appropriate template for our letters? The template should contain a letterhead with the company details. Could you also create anautotext entry (using Quick Parts) in the template for the closure of the letter – Yours sincerely (allow 5 blank lines) Simon Martin, Manager. {Print screen your autotext from quick parts and submit on a separate document}Use the template to type a letter to some of the Tour companies – have attached a handwritten draft, along with the names and addresses. Could you please set up as a main mail merge document (named Tour info) and a data source (named Tour info data).
